1. Who we are

LightArc Pty Ltd (“LightArc”, “we”, “us”) is an Australian business providing Epicor FP&A consulting, training webinars, and financial reporting services. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What personal information we collect

We may collect the following personal information:

Identity & contact: full name, email address, job title, organisation name
Event registration: responses to webinar registration forms, attendance records, and session recordings via Microsoft Teams
Marketing engagement: email open and click data collected via HubSpot
Financial documentation: names and contact details of board pack reviewers and approvers provided by client organisations
Technical: IP address, browser/device type, and cookies when you visit our website or open our emails

We do not collect sensitive information (as defined by the Privacy Act) unless explicitly required and consented to.

HubSpot email marketing forms and tracking pixels
Direct communication (email, phone)
Client-provided contact lists for board pack and reporting engagements

We share personal information only as necessary:

Microsoft — Teams Webinars platform for event delivery and recording
HubSpot Inc. — CRM and email marketing platform (data processed in the US under standard contractual clauses)
Our staff and contractors — on a need-to-know basis
Legal or regulatory authorities — if required by law

We do not sell personal information to third parties.

6. Overseas disclosure

HubSpot operates infrastructure in the United States. By registering for a LightArc event or subscribing to our communications, you consent to your personal information being transferred to and processed in the US by HubSpot under their Data Processing Agreement. All other processing occurs within Australia.

7. How we protect your information

We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access, including:

Access controls and staff training
Encrypted transmission (TLS) for all email and web communications
Contracted data processors (Microsoft, HubSpot) who maintain ISO 27001 / SOC 2 certifications

8. Retention

We retain personal information for as long as necessary to fulfil the purposes described above, or as required by law. Event registration data is retained for 3 years after the event. Marketing contact records are retained until you unsubscribe or request deletion.

9. Your rights

Under the Australian Privacy Principles you have the right to:

Access personal information we hold about you
Correct inaccurate or out-of-date information
Withdraw consent / unsubscribe from marketing at any time via the unsubscribe link in any email
Request deletion of your data (subject to legal retention requirements)

10. Complaints

If you believe we have breached the Australian Privacy Principles, please contact us at privacy@lightarc.com.au in the first instance. If you are unsatisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
